1. Introduction

This Privacy Policy describes how Highgate Studios LLC ("Highgate Studios," "we," "us," or "our") collects, uses, and protects information through the Rolliance platform ("Platform"). This policy applies to all users of the Platform, including Studio Owners, Members, and Dependents.

We do not sell your personal data. We do not share your personal data with third parties for their marketing purposes.

2. Information We Collect

2.1 Information You Provide

We collect information you provide directly, including:

  • Account Information: Name, email address, phone number, and password.
  • Studio Owner Information: Business name, business address, billing information, and Stripe account details.
  • Member Information: Name, contact information, emergency contacts, date of birth, uniform/gi sizes, and other information provided during enrollment.
  • Dependent Information: Name, date of birth, emergency contacts, and enrollment information provided by the parent or guardian.
  • Content: Comments, reactions, class notes, messages, and other content you submit through the Platform.
  • Payment Information: Payment card details and billing addresses processed through Stripe. Highgate Studios does not directly store full payment card numbers.

2.2 Information We Collect Automatically

When you use the Platform, we may automatically collect:

  • Usage Data: Pages visited, features used, actions taken, and time spent on the Platform.
  • Device Information: Browser type, operating system, device type, and screen resolution.
  • Log Data: IP address, access times, referring URLs, and error logs.
  • Cookies and Similar Technologies: We use cookies and similar tracking technologies to maintain sessions, remember preferences, and analyze usage patterns. See Section 7 for details.

3. How We Use Information

We use collected information to:

  • Provide, maintain, and improve the Platform.
  • Process payments and manage subscriptions via Stripe.
  • Facilitate communication between Studio Owners and Members.
  • Enable social features such as comments, reactions, and achievement displays.
  • Send transactional emails (account verification, password resets, billing notifications).
  • Send service-related communications about Platform updates, maintenance, and policy changes.
  • Monitor and enforce compliance with our Terms of Service.
  • Analyze usage patterns to improve the Platform experience.
  • Respond to support requests and inquiries.

We do not use your data for targeted advertising. We do not sell your data to third parties.

4. How We Share Information

4.1 Within Studios

Member data within a Studio is accessible to the Studio Owner and authorized staff (administrators and instructors) for studio management purposes. Member data is not shared with other Members beyond what is displayed through enabled social features.

4.2 Service Providers

We share information with third-party service providers who assist in operating the Platform, including:

  • Stripe: Payment processing for subscriptions and Stripe Connect transactions.
  • Hosting and Infrastructure Providers: Cloud hosting and data storage.
  • Email Service Providers: Transactional and service-related email delivery.

These providers are contractually obligated to use your information only for the purposes of providing their services to us.

4.3 Legal Requirements

We may disclose information if required to do so by law, regulation, legal process, or governmental request, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others, investigate fraud, or respond to an emergency.

4.4 Business Transfers

In the event of a merger, acquisition, reorganization, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change in ownership or control of your personal information.

5. Data Retention

5.1 Active Accounts

We retain your information for as long as your account is active or as needed to provide the Platform and services.

5.2 Studio Owner Data

Upon cancellation of a Studio Owner subscription, account data enters a 30-day grace period (full reactivation available), followed by a 12-month archived retention period (data export or reactivation available). After the 12-month retention period, all Studio data is permanently deleted. Studio Owners may request early deletion at any time.

5.3 Member Data

If a Member leaves a Studio, their data is retained within the Studio for the Studio Owner's operational and analytical purposes for as long as the Studio remains active. Members may request deletion of their account by contacting [email protected]; however, anonymized or aggregated historical data may be retained by the Studio for analytics.

5.4 Dependent Data

Dependent data follows the same retention policies as Member data. Upon a Dependent's account graduation to an independent Member account, data is transitioned accordingly.

6. Data Security

We implement industry-standard technical and organizational measures to protect your information, including encryption of data in transit (TLS/SSL), secure storage practices, and access controls. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Cookies

We use cookies and similar technologies for:

  • Essential Cookies: Required for Platform functionality, such as authentication and session management.
  • Analytics Cookies: Help us understand how users interact with the Platform to improve the experience.

We do not use advertising or tracking cookies. You can control cookie preferences through your browser settings; however, disabling essential cookies may affect Platform functionality.

8. Children's Privacy

The Platform does not knowingly collect personal information from children under 13 without verifiable parental consent. Dependent accounts for minors under 18 are created and managed by a parent or legal guardian, who provides consent for the collection and use of the minor's information. If we learn that we have collected personal information from a child under 13 without parental consent, we will take steps to delete that information promptly.

9. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of your personal information (subject to legal and operational retention requirements).
  • Request a copy of your data in a portable format.
  • Opt out of non-essential communications.

10. United States Operations

The Platform is currently operated in and intended for users in the United States. If you access the Platform from outside the United States, you do so at your own risk and are responsible for compliance with local laws. We may expand to additional jurisdictions in the future and will update this Privacy Policy accordingly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or a prominent notice on the Platform at least thirty (30) days before they take effect. Your continued use of the Platform after the effective date constitutes acceptance of the updated policy.
